Create Appraisal (APPCREATE)
Purpose
Use this procedure to create an appraisal record for an employee. The appraisal results form part of the employee record and can be displayed directly from the Qualifications infotype.

It is also possible to create an appraisal from the Qualifications infotype.
For details on how to do this refer to Procedure
Qualifications.
Trigger
Perform this procedure when you are required to record the results of an employee appraisal, or when you want to create a form, specific to the individual to be appraised, in order to conduct the appraisal interview.
Prerequisites
An employee record exists.
An Appraisal model, together with Appraisal criteria and groups exist.
Navigation Path
Use the following navigation path to begin this transaction:
Select to go to the Appraisal Model (1) window and the Prepare Appraisal - Annual Appraisal screen.

The screen names vary according to the name of the Appraisal model selected.
In this instruction, the Annual Appraisal model is used throughout.
Helpful Hints
You do not have to create the appraisal all at once. It can be saved with a status of 'In process'. Thus, you can return to the appraisal at a later date and enter further information. This can be useful where more than one person is carrying out the appraisal, or you do not have the full results.

Procedure
1. Start the transaction using the navigation path.
2. Double click Create Appraisal to go to the
Appraisal model (1) .....3 Entries found window.

This window lists the Appraisal models (types of appraisal) created for your
organisation.
3. Select the type of Appraisal you want to create.

to confirm your selection
and go to the
Prepare Appraisal - Annual
Appraisal screen.

The Appraisal model, Criteria and Groups are displayed, according to the settings
for your organisation.

The status of the Appraisal defaults to 'In preparation'.
5. Complete the following fields:

to go to the
Prepare Appraisal -
Annual Appraisal window.

and select Person from the drop-down list.

to confirm your selection and go to the
Prepare
Appraisal - Annual Appraisal screen.

With the cursor in the
Employee (Appraisee)
field, click
to go to the
Choose Person
window.

The selection window displayed will depend on the settings made when you last
searched for an employee. If it is not already selected, choose Structure search.
This method is used in the example below.

Your organizational structure is displayed.

Click
repeatedly next to the branches of the organizational structure to display
the employee for whom you want to create an appraisal. An example of an organizational
structure expanded in this way is displayed below in the
Choose
Person window.

next to the name of the employee to be appraised.

to confirm your selection and return to the
Prepare
Appraisal - Annual Appraisal screen.

The selected personnel number and name are displayed for the
Employee
(Appraisee).
13. Complete the following fields:

to validate your entries and refresh the
Prepare
Appraisal - Annual Appraisal screen.

The dates for the period to be appraised are displayed.

to execute the program and go to the
Perform
Appraisal - Annual Appraisal screen.

Whether fields for Evaluation are mandatory or optional is determined by the
settings assigned to the Appraisal model and the Appraisal criteria/groups.
In the above example, the Appraisal and associated Criteria groups have been
defined as mandatory.
16. Click into the evaluation field for the Appraisal criterion to be assessed, eg, Flexibility in the example illustrated.

to go to the
Scale: Standard Scale
window.

The type of scale displayed is determined by the settings assigned to the Appraisal
model and the Appraisal criteria/groups. In this example, the Standard Scale
is used.

Click on the proficiency to be assigned, eg,

to confirm your selection and go to the
Perform
Appraisal - Annual Appraisal screen.

The evaluation you assigned is displayed.

Change screen.
22. Click in the blank screen area and enter free-text notes as required.

The system message "Text was saved" is displayed.

When a note is created, it can be displayed on the Appraisal sheet and printed
out, if required. See Step

When a note has been created, the Notes icon changes to

The system displays the message, "Data saved." The status for the appraisal
remains 'In process'.

To edit and complete the appraisal, refer to Procedure

to save/complete the appraisal and go to the
Edit
Appraisal - Annual Appraisal screen.

After you complete the appraisal, it cannot be changed. If you are unsure whether
the appraisal will need to be amended again, save without completing. If a situation
does arise where a completed appraisal needs to be changed, it would have to
be deleted and recreated.

The system displays the message, "Appraisal "Annual Appraisal" completed successfully."

The Appraisal status is changed to 'Completed'.
29. Perform one of the following:

A standard list containing basic appraisal details is displayed. This format

Result
You have created an appraisal for the selected employee.
