Create Appraisal (APPCREATE)
Purpose
Use this procedure to create an appraisal record for an employee. The appraisal results form part of the employee record and can be displayed directly from the Qualifications infotype.
Reference It is also possible to create an appraisal from the Qualifications infotype. For details on how to do this refer to Procedure Qualifications.
Trigger
Perform this procedure when you are required to record the results of an employee appraisal, or when you want to create a form, specific to the individual to be appraised, in order to conduct the appraisal interview.
Prerequisites
•  An employee record exists.
•  An Appraisal model, together with Appraisal criteria and groups exist.

Navigation Path
Use the following navigation path to begin this transaction:
•  Select Processes è Human Resources è Qualifications & Appraisals è Appraisals è Create Appraisal to go to the Appraisal Model (1) window and the Prepare Appraisal - Annual Appraisal screen.
Caution The screen names vary according to the name of the Appraisal model selected. In this instruction, the Annual Appraisal model is used throughout.
Helpful Hints
•  You do not have to create the appraisal all at once. It can be saved with a status of 'In process'. Thus, you can return to the appraisal at a later date and enter further information. This can be useful where more than one person is carrying out the appraisal, or you do not have the full results.

Procedure
1. Start the transaction using the navigation path.

2. Double click Create Appraisal to go to the Appraisal model (1) .....3 Entries found window.

Note This window lists the Appraisal models (types of appraisal) created for your organisation.
3. Select the type of Appraisal you want to create.
4. Click Image to confirm your selection and go to the Prepare Appraisal - Annual Appraisal screen.

Note The Appraisal model, Criteria and Groups are displayed, according to the settings for your organisation.
Note The status of the Appraisal defaults to 'In preparation'.
5. Complete the following fields:
Individual appraisal
Manager (Appraiser)
Employee (Appraisee)
 
6. Click Image to go to the Prepare Appraisal - Annual Appraisal window.

7. Click Image and select Person from the drop-down list.
8. Click Image to confirm your selection and go to the Prepare Appraisal - Annual Appraisal screen.

9. With the cursor in the Employee (Appraisee) field, click Image to go to the Choose Person window.
Caution The selection window displayed will depend on the settings made when you last searched for an employee. If it is not already selected, choose Structure search. This method is used in the example below.

Note Your organizational structure is displayed.
10. Click Image repeatedly next to the branches of the organizational structure to display the employee for whom you want to create an appraisal. An example of an organizational structure expanded in this way is displayed below in the Choose Person window.

11. Click Checkbox Selected next to the name of the employee to be appraised.
12. Click Image to confirm your selection and return to the Prepare Appraisal - Annual Appraisal screen.

Note The selected personnel number and name are displayed for the Employee (Appraisee).
13. Complete the following fields:

14. Click Image to validate your entries and refresh the Prepare Appraisal - Annual Appraisal screen.

Note The dates for the period to be appraised are displayed.
15. Click Image to execute the program and go to the Perform Appraisal - Annual Appraisal screen.

Note Whether fields for Evaluation are mandatory or optional is determined by the settings assigned to the Appraisal model and the Appraisal criteria/groups. In the above example, the Appraisal and associated Criteria groups have been defined as mandatory.
16. Click into the evaluation field for the Appraisal criterion to be assessed, eg, Flexibility in the example illustrated.
17. Click Image to go to the Scale: Standard Scale window.
Caution The type of scale displayed is determined by the settings assigned to the Appraisal model and the Appraisal criteria/groups. In this example, the Standard Scale is used.

18. Click on the proficiency to be assigned, eg, Image
19. Click Image to confirm your selection and go to the Perform Appraisal - Annual Appraisal screen.

Note The evaluation you assigned is displayed.
20. Perform one of the following:
If
Go To
You want to assign further evaluations to the Appraisal criteria
You want to add free text notes for Appraisal criteria
You want to save the appraisal and complete it later
You want to save the appraisal and set the status to complete
You want to display/print the Appraisal sheet
 
21. Click Image in the Notes column to go to the Notes Change screen.

22. Click in the blank screen area and enter free-text notes as required.
23. Click Image to save your entries and go to the Notes Change screen.

Note The system message "Text was saved" is displayed.
Note When a note is created, it can be displayed on the Appraisal sheet and printed out, if required. See Step 30.
24. Click Image to go to the Perform Appraisal - Annual Appraisal screen.

Note When a note has been created, the Notes icon changes toImage.
25. Perform one of the following:

You want to save the appraisal and complete it later
You want to save the appraisal and set the status to complete
You want to display/print the Appraisal sheet
 
26. Click Save to save the appraisal and display the following view of the Perform Appraisal - Annual Appraisal screen.

Note The system displays the message, "Data saved." The status for the appraisal remains 'In process'.

27. Perform one of the following:

You want to save the appraisal and set the status to complete
You want to display/print the Appraisal sheet
You want to exit
 
28. Click Image to save/complete the appraisal and go to the Edit Appraisal - Annual Appraisal screen.
Critical After you complete the appraisal, it cannot be changed. If you are unsure whether the appraisal will need to be amended again, save without completing. If a situation does arise where a completed appraisal needs to be changed, it would have to be deleted and recreated.

Note The Appraisal status is changed to 'Completed'.
29. Perform one of the following:

30. From either the Perform Appraisal or the Edit Appraisal screen, click Image to go to the Appraisals: List screen.

Note A standard list containing basic appraisal details is displayed. This format can be enhanced further as required.
31. Click Image to go to the Appraisals: List window.

32. Complete the following fields:
Appraisal sheet
Number of lines per note
Display as checkbox if
Text
with notes
with descriptions legend
with proficiencies legend
 
33. Click Image to confirm your selections and create an alternative format for the Appraisals: List screen according to your requirements.

34. Click Image to print the Appraisal sheet, if required.
35. Click Image to go to the Edit Appraisal - Annual Appraisal screen.

36. Click Image to go to the SAP Easy Access Main Menu screen.
37. You have completed this transaction.
Result
You have created an appraisal for the selected employee.
